Nature of Position

Summary

The Administrative Specialist III is responsible for coordinating office activities, verbal, written and in-person communication with clients, maintaining financial database for 4-H Center Programs, receiving and processing registration, payments, and donations, researching & preparing special reports.

Job Duties

Performs administrative duties for assigned department. Answers phones for 4-H Center Programs office, directing calls and responding to inquiries and requests for information. Greets clients and provides information or refers client appropriately. Processes incoming and outgoing mail. Handles routine correspondence.

Keeps calendar of all groups participating in programs. Regularly corresponds with 4-H Center staff to make arrangements for facility use, lodging, and meals for 4-H Center Program clients. Makes arrangements for meeting facilities, transportation, lodging, catering, and/or meals. Maintains correspondence and subject matter files for 4-H Center Program staff.

Prepares and submits travel forms, expense reimbursements, time/leave reports, and on-line requisitions for invoice payments with specific funds for payment. Provides required documentation to expedite payments and reimbursements. Maintains inventory control of equipment for department. Orders and maintains sufficient stock of office supplies for department.

Responsible for gathering data and creating various documents for end of year reporting and evaluations. Gathers appropriate paperwork and documentation for internal grants for 4-H Center Program staff. Maintains and updates mailing lists as needed. Prepares and maintains departmental website.

Maintains financial database for 4-H Center Programs. Receives and processes registration, payments, and donations for activities including ExCEL, Arkansas Outdoor School (AOS), Summer Day Camp, Overnight Camps and SEEK.

Knowledge of computers & software applications. Ability to prepare, present, & review oral & written information & reports. Ability to research & analyze related work program information. Ability to develop, recommend, interpret, & apply policies & procedures. Ability to analyze financial records & prepare reports. Ability to plan, organize, & direct the work of others.

Minimum Qualifications

The formal education equivalent of a high school diploma; plus one year of specialized training in business management, business education, or a related field; plus three years of experience in specialized or a related field applicable to work performed.

OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL BY THE ASSOCIATE VICE PRESIDENT FOR EXTENSION.
