Nature of Position

Summary

The Administrative Specialist II is responsible for researching & preparing special reports, examining & verifying documents, & performing general office duties.

Job Duties

Responsible for answering the telephone for faculty and staff in the Crop, Soil & Environmental Science Department. Responds to inquiries and requests for information when possible or directs callers and visitors to appropriate staff member.

Provides secretarial support to assigned specialists in the department. Assists with the preparation and copying of documents or materials that are needed for meetings, workshops, and trainings. Types and submits letters, emails, and other documents. Maintains files consisting of correspondence, reports, and subject matter material for assigned specialists. Assists others in the department if needed.

Types and submits weekly, monthly, and annual reports. Prepares and submits travel forms and expense reimbursements for the specialists in the department. Assists assigned specialists in gathering, editing, printing, and entering data for various documents and reports such as evaluation narratives, newsletters, and training materials.

Maintains expenditure records and account balances of departmental budgets, grants, ADC and 4-H Foundation funds for assigned specialists.

Skills

Knowledge of record keeping procedures. Knowledge of the principles & practices of mathematics & statistics. Knowledge of work-related subject area. Knowledge of computers & software applications. Ability to conduct research & compile data into report form. Ability to establish & maintain filing systems. Ability to operate standard office equipment. Ability to analyze documents to determine compliance with rules, regulations, & procedures. Ability to communicate both orally & in writing.

Minimum Qualifications

The formal education equivalent of a high school diploma; plus two years of experience in a specialized or related area applicable to work performed.

OTHER JOB RELATED EDUCATION AND/OR EXPERIENCE MAY BE SUBSTITUTED FOR ALL OR PART OF THESE BASIC REQUIREMENTS, EXCEPT FOR CERTIFICATION OR LICENSURE REQUIREMENTS, UPON APPROVAL BY THE ASSOCIATE VICE PRESIDENT FOR EXTENSION.
